Privacy policy

What data we process
Name, email, phone number, year of birth, gender, emergency contact, shirt size, employer and department, plus information about registrations, payments, waiting lists and team setups.
Purpose and legal basis
The data is used to administer company participation in races, pass registrations on to the organizer's registration provider and handle payment and support. Processing is based on the agreement between the company and OfficeRunClub, and on the legitimate interest in operating the service.
Sharing with registration providers
To complete a registration, the necessary participant data is shared with the organizer's provider, for example NJUKO, EQ Timing, OnReg, Join Event or the organizer's own solution. Only the fields the organizer requires are transferred.
Company access
Company admins and race owners see participant lists, allocation status and aggregated use of company support. They do not see health data or private payment details.
Storage and deletion
Registration data is stored for up to 24 months after the race for accounting and complaint purposes. Profile data is deleted when employment ends or on request.
Your rights
You have the right to access, rectification, erasure, restriction and data portability. Requests are submitted through the support page in the portal and are normally answered within five working days.
