Privacy policy
Last updated 16 September 2026. OfficeRunClub is operated for participating companies; application and database hosting are configured in Europe.
What data we process
Name, email, phone number, year of birth, gender, emergency contact, shirt size, employer and department, plus information about registrations, payments, waiting lists and team setups.
Purpose and legal basis
The data is used to administer company participation in races, pass registrations on to the organizer's registration provider and handle payment and support. Processing is based on the agreement between the company and OfficeRunClub, and on the legitimate interest in operating the service.
Sharing with registration providers
To complete a registration, the necessary participant data is shared with the organizer's provider, for example NJUKO, EQ Timing, OnReg, Join Event or the organizer's own solution. Only the fields the organizer requires are transferred.
Company access
Company admins and race owners see participant lists, allocation status and aggregated use of company support. They do not see health data or private payment details.
Storage and deletion
Race-participation identity is retired from company race records after 24 months, while a personal race-history entry may remain in your profile while the account is active. Accounts that have been inactive for 24 months are scheduled for deletion with at least 30 days' notice; signing in again cancels the scheduled deletion. Some records may remain without a profile link where they must be retained for documentation or legal reasons.
Your rights
You can request access, correction, deletion, restriction or a copy of your personal data through the support page in the portal. Requests are verified and handled according to the applicable requirements and OfficeRunClub's operational procedures.
